General
Your personal data (e.g. title, name, house address, e-mail address, phone number, bank details, credit card number) are processed by us only in accordance with the provisions of German data privacy laws. The following provisions describe the type, scope and purpose of collecting, processing and utilizing personal data. This data privacy policy applies only to our web pages. If links on our pages route you to other pages, please inquire there about how your data are handled in such cases.
Inventory data
(1) Your personal data, insofar as these are necessary for this contractual relationship (inventory data) in terms of its establishment, organization of content and modifications, are used exclusively for fulfilling the contract. For goods to be delivered, for instance, your name and address must be relayed to the supplier of the goods.
(2) Without your explicit consent or a legal basis, your personal data are not passed on to third parties outside the scope of fulfilling this contract. After completion of the contract, your data are blocked against further use. After expiry of deadlines as per tax-related and commercial regulations, these data are deleted unless you have expressly consented to their further use.
Mobile Application – Smoover Foreman App
The Smoover Foreman App is a mobile application provided for use by foremen and field personnel involved in carrying out moving services. The app requests access to the following device permissions:
(1) Location: The app collects your device’s real-time geographic location during active operations. This data is used solely for operational purposes, including enabling supervisors and relevant parties to monitor field activity and, where necessary, informing the customer of the foreman’s whereabouts. Location data is not stored historically; each location update overwrites the previous one and is not retained after it is superseded.
(2) Camera: The app requests access to your device’s camera to allow foremen to capture photographs as part of quality control procedures during a move. These images may include the state of the loaded or empty truck, as well as documentation of any damage that may occur during the moving process. Images are used exclusively for operational quality assurance and may be associated with the relevant move record.
(3) Customer Data Access: When a moving job is assigned, the foreman responsible for that job is granted access to relevant customer contact details solely for the purpose of coordinating and executing the move. This access is limited to the assigned foreman only and is restricted to the duration and scope of the relevant job.
No data collected through the Smoover Foreman App is shared with third parties beyond what is necessary for the execution of the relevant moving service, in accordance with the same principles set out under Inventory Data above. The Smoover Foreman App operates on the same database infrastructure as the Smoover web application. Data collected or accessed through the app is stored and processed under the same conditions and safeguards described in this privacy policy.
Google Ads API – Smoover Ads Campaign Manager
Smoover Moving UG operates the Smoover Ads Campaign Manager as an internal, AI-assisted tool for managing Smoover’s own Google Ads accounts. Access is initiated through Google OAuth and is limited to Google Ads accounts that an authorized Smoover user has explicitly permitted the tool to access.
Google data accessed
The tool may retrieve Google Ads customer and account identifiers, campaign and ad group settings, ads and creative assets, keywords and negative keywords, audiences and geographic targeting, budgets, bids, conversion actions, recommendations, and performance and conversion reports. The tool does not access Gmail, Google Drive, contacts, or unrelated Google Account content.
Purpose of processing
Google Ads data is used only to discuss, analyse, create, launch, edit, pause, and optimise Smoover’s advertising campaigns through the authorised chat interface. Changes to campaigns are made only for Smoover’s own accounts and remain subject to authorised human control. The data is not sold, used for unrelated advertising, or shared for independent third-party purposes.
Storage, security, and service providers
OAuth credentials and refresh tokens are stored as access-restricted server-side secrets and are not placed in public source code or browser storage. Data is transmitted using encrypted connections. Access is limited to authorised Smoover personnel and the technical systems required to provide the tool. Selected hosting and AI-processing providers, including OpenAI for the chat interface, may process the minimum necessary data on Smoover’s instructions solely to provide the requested functionality.
Retention, deletion, and revocation
Google Ads data is retrieved on demand. Limited reporting results and audit information about campaign changes may be retained only as long as required for campaign operations, security, and compliance. OAuth access can be revoked through the user’s Google Account permissions. Requests for access, correction, deletion, or questions about this processing can be sent to info@smoover-moving.com.
Our use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements.
Disclosure
